We respect your privacy and are committed to protecting the personal information you share with us when you visit our website, use our virtual-assistant services, interact with our marketing or customer-support channels, or otherwise engage with Online VA Team (collectively, the “Services”).
This Privacy Policy explains:

- How we use, share and protect that information.
- Your privacy choices and rights, including how to access and control your information.
Plain-language promise: We do not sell your personal information, and we never share mobile-originated text messaging data or consent with third parties for their own marketing or promotional purposes. (See § 7 below.)

For the purposes of the California Consumer Privacy Act (“CCPA/CPRA”), the UK/EU General Data Protection Regulation (“GDPR”) and similar laws, Online VA Team is the controller of your personal information unless otherwise stated.

- The unique profile you create to access certain parts of the Services.

- Any entity that controls, is controlled by, or under common control with Online VA Team.

- Small data files placed on your device that help us remember your preferences and understand how you use the Services.

- Virtual Assistant
- A contractor or employee engaged by Online VA Team to perform administrative or related duties for clients.

We never use personal information in ways that are incompatible with the purposes for which it was collected, unless we have your consent.
5. How We Share Information
We disclose personal information only:
- Service Providers / Processors – e.g., cloud hosting, payment processors, CRM, analytics, communication tools. Each is bound by confidentiality and data-processing agreements.
- Business Transfers – If we merge, acquire, or sell assets, your information may transfer as part of that transaction (you will receive prior notice).
- Legal or Regulatory Reasons – To comply with subpoenas, court orders, or defend legal claims.
- With Consent – If you instruct us to share data or choose to post in public areas (e.g., testimonials, social media), that content is visible to others.
We do not sell or rent personal information for monetary consideration.
6. Cookies & Similar Technologies
We use first- and third-party cookies, pixels and local storage to:

- analyze site traffic and performance;
- deliver and measure advertising (only with your consent where required).
You can control cookies through your browser settings. Most modern browsers let you block, delete, or be notified before a cookie is stored.
7. SMS & Mobile Communications
When you provide your mobile number and opt-in to receive SMS messages, we will send you service alerts (e.g., appointment reminders, authentication codes) and, if you consent, limited promotional messages.
Mobile Privacy Commitment
No mobile information will be shared with third parties or affiliates for their marketing or promotional purposes. All other data-sharing categories exclude text-messaging originator opt-in data and consent; this information will not be disclosed to any third party.
You may opt out of SMS at any time by replying STOP or contacting us at privacy@onlinevateam.com.
8. Data Retention
We retain personal information only as long as necessary to:
- fulfill the purposes outlined in this Policy;
- comply with legal, contractual or accounting obligations;
- defend or establish legal claims.
Retention periods are reviewed at least annually; data that is no longer needed is securely deleted or anonymized.
9. International Transfers
We operate in the United States and may process data in other jurisdictions where our Service Providers have servers. Whenever we transfer personal information internationally we rely on approved safeguards such as Standard Contractual Clauses or an adequacy decision (GDPR Arts. 45–46).
10. Security
We employ industry-standard administrative, technical and physical safeguards—including encryption in transit and at rest, access-control policies, regular penetration testing and staff security training—to protect personal information. No system is perfectly secure; if we experience a data breach that affects you, we will notify you in accordance with applicable law.
11. Your Privacy Rights
Depending on where you live, you may have some or all of the following rights:

To exercise any right, email privacy@onlinevateam.com with the subject line “Privacy Request”. We will verify your identity and respond within the timeframe required by law (30–45 days).
Do Not Track (DNT)
Our website does not currently respond to browser DNT signals. You may still manage tracking cookies via your browser settings.
12. Children’s Privacy
Our Services are not directed to children under 13 and we do not knowingly collect their personal information. If you believe we have inadvertently collected such data, please contact us and we will promptly delete it.
13. Changes to This Policy
We may update this Policy periodically. Material changes will be announced by:
- posting the updated Policy with a new Last Updated date; and
- (where required) sending you email or in-app notice.
Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
